Master the Delegation Spectrum to Offload Tasks More Effectively

Can you do it all?

Or, even better: Can you do it all WELL?

Unless you’re Superman, your honest answer to one (if not both) of the above questions has to be “no.” But let’s suspend disbelief and say you’re that unique person who’s amazing at everything. Even so, you’re still like the rest of us in that you cannot create more hours in the day.

We simply cannot do it all, especially not well.

So what do we do? How do we overcome our own limitations? We lean on others and we delegate.

Delegation” is one of those buzz words that business owners, coaches, advisors, and others absolutely love to throw around. But to delegate well, we really need to understand that delegation is a spectrum.

Michael Gerber’s The E-Myth Revisited and Seth Godin’s Linchpin: Are You Indispensable? do a great job of covering the two sides of the delegation spectrum.

Since we can’t do it all, we have to be sure we spend our time where it counts.

The E-Myth Revisited Delegation

In The E-Myth Revisited, Michael Gerber discusses how to delegate:

  1. Define the task you want to delegate.
  2. Document the necessary steps to perform the task (including any applicable quality control standards for each step.)
  3. Outline the expected results of the task. (What, why, when, who, where and how.)
  4. Delegate and have someone implement the plan! Maintain open lines of communication so you’re aware of progress and performance.
  5. Keep this process and any future updates well documented.

Linchpin Delegation

Seth Godin explores the concepts of linchpins in his book. He defines a linchpin as “an individual who can walk into chaos and create order, someone who can invent, connect, create, and make things happen.

Linchpins essentially make themselves indispensable to a company. They use their expertise and “
genius” in an area to far exceed the productivity and effectiveness of a standard delegation process because they innovate, rather than following a step-by-step plan laid out by someone else.

Finding the Right Fit

So how do you know what type of delegation is right for you and your business? I recommend asking yourself the following key questions to help identify the right type of delegation for a particular situation: 

  1. Is the task I’m delegating something I’m an expert in?
  2. Is it something repeatable and consistent?
  3. Is this something I really struggle with?

If you answered “yes” to the first two questions, you probably want to lean closer to an E-Myth implementation. Since you’re such an expert and the process is repeatable, getting that perfected step-by-step process down and delegated to another will help free you up for other endeavors that are not so easily replicated by another team member. Since we can’t do it all, we have to be sure we spend our time where it counts.

However, if you answered “yes” to the third question instead, some follow-up questions are needed:

  • Is your outcome high quality? If so, is the struggle part of the process? (It’s important to remember that some things are just harder than others.)
  • Is the outcome consistent?

If your outcome is not high quality and/or consistent, it may be a time to lean on an expert through Linchpin delegation.

While it’s great to learn from these experts to understand how they create results for your business, allowing them to lead the charge in this arena can help you focus your time elsewhere where it has a larger impact.

Linchpin delegation is often the most expensive kind of delegation, but it can be so worth it. If done well, you can leverage these “linchpins” to take your operation to new heights. Sounds like a good investment to me!
